Privacy Policy

The short version: Your data lives on your server. We don't collect it, sell it, or touch it. The Theo platform runs on infrastructure you own and control.

1. Information We Collect

Business Velocity Group ("BVG") collects minimal information necessary to operate our services. We collect:

  • Account information — your name, business name, and email address provided during onboarding
  • Payment information — processed through Stripe; BVG never stores your full card details
  • Anonymized performance metrics — aggregated counts (lead volume, response rates, uptime) with no personally identifiable information
  • Communications — emails and support messages you send to BVG directly

We do not collect, access, or store any data generated by your Theo system including leads, client communications, business content, or CRM data. That data lives entirely on your dedicated server.

2. How We Use Your Information

Information collected is used exclusively to:

  • Deliver and maintain the Theo platform for your business
  • Process payments and send invoices
  • Respond to support requests
  • Send monthly performance reports based on anonymized metrics
  • Comply with legal obligations

We do not use your information for advertising, profiling, or any purpose beyond delivering the services you've purchased.

3. Data Storage & Security

Your business data — leads, contacts, emails, CRM records, and all operational data — is stored on your dedicated VPS (Virtual Private Server). You own that server. BVG has limited administrative access during setup and support interactions only, and only with your explicit permission.

BVG account data (name, email, payment records) is stored securely on BVG infrastructure with industry-standard encryption at rest and in transit.

  • All connections use TLS 1.2 or higher
  • Payment data is processed by Stripe (PCI DSS Level 1 compliant)
  • Access to BVG systems is restricted to authorized personnel

4. Third-Party Services

The Theo platform integrates with third-party AI and infrastructure services on your behalf. These may include:

  • Anthropic / MiniMax — AI model inference for bot responses
  • Google — Calendar and Gmail integrations (if enabled)
  • Cloudflare — DNS and CDN services
  • Stripe — Payment processing

Each of these services has its own privacy policy. Data sent to AI providers for inference is governed by their respective terms. BVG configures these integrations to minimize data exposure consistent with the services you've purchased.

BVG will never sell or share your information with third parties for marketing or advertising purposes.

5. Data Retention

BVG retains account and billing records for 7 years as required by standard accounting practices and applicable law. Support communications are retained for 2 years.

Upon cancellation of services, BVG will remove all proprietary system access within 5 business days. Your VPS and all data on it remains yours indefinitely — we have no access to it after offboarding is complete.

6. Your Rights

You have the right to:

  • Request a copy of the personal data BVG holds about you
  • Request correction of inaccurate data
  • Request deletion of your account data (subject to legal retention requirements)
  • Opt out of non-essential communications at any time

7. Cookies

The BVG marketing website (businessvelocitygroup.com) does not use tracking cookies or third-party analytics. The Theo client dashboard uses a session cookie solely for authentication — it contains no personal information and expires when you log out.

8. Children's Privacy

BVG services are intended for business operators and are not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors.

9. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated by email to active clients at least 14 days before taking effect. Continued use of our services after that period constitutes acceptance of the updated policy.
